Cancellation and Refund Policy
At Vibecrest Media Private Limited, we strive to provide exceptional event management and media services. We understand that plans can change; however, because our services involve significant advanced planning and financial commitments to third-party vendors, we have established the following policy.
1. Booking Deposit
To secure our services for a specific date, a booking deposit of [e.g., 30% or 50%] of the total project/event value is required.
This deposit is non-refundable, as it covers administrative costs, initial planning, and the “opportunity cost” of reserving the date.
2. Cancellation by the Client
If you wish to cancel an event or service, you must provide written notice to info@vibecrest-events.com. Refunds (excluding the booking deposit) will be processed based on the following timeline:
Cancellation 30 days or more before the event: 100% of the remaining balance paid (excluding the non-refundable deposit) will be refunded.
Cancellation 15 to 29 days before the event: 50% of the remaining balance paid will be refunded.
Cancellation less than 15 days before the event: No refund will be issued, as all vendor payments and logistics will have been finalized.
3. Digital & Media Services
For digital media projects (video editing, social media campaigns, etc.):
Once work has commenced (post-strategy phase), payments are non-refundable.
If a project is cancelled mid-way, the client will be billed for the hours/milestones completed up to the date of cancellation.
4. Postponement Policy
We understand that unforeseen circumstances may require you to reschedule.
If an event is postponed more than 15 days before the original date, we will attempt to transfer the booking deposit to the new date (subject to availability).
Additional “Rescheduling Fees” may apply if vendors charge Vibecrest Media for the date change.
If the new date is not available, the request will be treated as a “Cancellation” under Section 2.
5. Non-Refundable Expenses
Regardless of the timing of the cancellation, any expenses already incurred by Vibecrest Media Private Limited that are non-recoverable from third-party vendors (e.g., custom-printed branding, personalized trophies, airfare/hotel bookings) will be deducted from any potential refund.
6. Force Majeure
Vibecrest Media Private Limited shall not be liable for refunds or damages if an event is cancelled due to “Acts of God” (e.g., earthquakes, floods, pandemics), government restrictions, strikes, or civil unrest. In such cases, we will issue a Credit Note valid for 12 months, which can be used for future services.
7. Refund Processing
Eligible refunds will be processed via the original payment method or through a bank transfer.
The refund process typically takes 7 to 10 business days after the refund is approved in writing.
Any bank charges or transaction fees incurred during the refund process will be borne by the client.
