Shipping and Delivery Policy

This Shipping and Delivery Policy describes how Vibecrest Media Private Limited (“we,” “us,” or “our”) manages the delivery of physical products and digital assets related to our event management and media services.

1. Nature of Delivery

Vibecrest Media Private Limited provides three types of “deliverables”:

  • Physical Goods: Event collateral, printed invitations, customized merchandise, and corporate gifts.

  • Digital Deliverables: Photography, edited event videos, social media assets, and digital reports.

  • Service Execution: The actual physical setup and management of an event at a designated venue.

2. Digital Delivery (Media Services)

  • Timeline: Final edited photos and videos are typically delivered within [e.g., 15 to 30] business days after the conclusion of the event, unless otherwise specified in your service contract.

  • Method: Digital assets will be delivered via secure cloud storage links (e.g., Google Drive, WeTransfer, or Dropbox) sent to the client’s registered email address.

  • Access: Links will remain active for [e.g., 60 days]. Clients are advised to download and backup their data within this timeframe.

3. Shipping of Physical Goods

For physical items such as printed invites or event merchandise:

  • Processing Time: Orders are processed within 3-5 business days after design approval and payment confirmation.

  • Shipping Partners: We use reputable third-party courier services (e.g., BlueDart, Delhivery, or Professional Couriers) for domestic shipping.

  • Delivery Timeline:

    • Within Delhi/NCR: 2-3 business days.

    • Rest of India: 5-7 business days.

  • Shipping Charges: Shipping costs are calculated based on weight and destination. These will be clearly mentioned in your final quotation or invoice.

4. Service Execution (Event Delivery)

  • Delivery of Service: For on-site event management, “delivery” is considered complete once the event has been executed as per the Scope of Work (SOW) agreed upon in the service contract.

  • Venue Readiness: The client is responsible for ensuring the venue is available for “delivery” (setup) at least [e.g., 12-24 hours] before the event starts, unless Vibecrest Media is specifically contracted to handle venue bookings.

5. Tracking and Notifications

  • For physical shipments, a tracking number and the name of the courier partner will be sent to your email (info@vibecrest-events.com) or provided via WhatsApp once the package is dispatched.

  • For digital deliverables, you will receive a confirmation email once the upload is complete.

6. International Shipping

Currently, Vibecrest Media Private Limited primarily serves clients within India. International shipping for physical goods or international event execution is handled on a case-by-case basis and may be subject to additional customs duties and international taxes.

7. Delays and Force Majeure

We are not responsible for delivery delays caused by:

  • Incomplete or incorrect addresses provided by the client.

  • Courier company delays or strikes.

  • Force Majeure: Natural disasters, pandemics, or government-imposed lockdowns.

  • Delay in client approvals or failure to provide necessary assets (logos, content, etc.).

8. Damaged Goods

If you receive physical goods that are damaged during transit, please notify us within 24 hours of delivery at info@vibecrest-events.com with photographic evidence. We will arrange for a replacement or a credit note as per the situation.
